We’re looking for an energetic PA to support our new Sales team and keep it running smoothly and efficiently.

This fast paced role within the team and requires high levels of organisational skills, willingness to help and ability to juggle many priorities at once.

Responsibilities will include:
Providing PA support for the Sydney Sales Director and the Senior EA as required
Providing administrative support for the sales team, including Group Sales Managers, Sales Executives and Sales Assistants
General office administration including data entry and report preparation
Preparation of general correspondence and presentation materials
Resolving issues as they arise and managing client and team expectations
Establishing and maintaining solid professional relationships with internal groups and key clients
Handling calls and directing enquiries

A fantastic opportunity exists for an enthusiastic and motivated individual to join Resources team based in our Melbourne office. This key role supports Nine Melbourne’s departments and managers, assisting with the coordination of crews and facilities for studio productions.

Duties include:
Booking resources including studio, location, videotape, videographics, studio services and outside broadcasts;
Review and distribution of rosters, timesheets, and production schedules;
Entering and reconciling production charges in ScheduALL (Nine’s resource booking system);
Processing Invoices via Palette (Nine’s Account Payable system);
Providing general administrative assistance to the Resource and Production departments; and
Assisting the Facilities Manager with ad hoc duties as required including reporting requirements, travel arrangements and administration.

To be successful in this role, the successful applicant must have:
Excellent administrative, communication and people skills;
Excellent time management skills with the ability to work to deadlines;
Precise data entry and attention to detail;
Advanced knowledge of Microsoft office suite and working knowledge of the Broadcasting and Recorded Entertainment Award;
An understanding of the ScheduALL Resource Management System and Palette is preferred but not essential; and
A knowledge of Television production and Outside Broadcasts.

Hours: Monday to Friday. Hours vary between 0800-1800

There will be a lot of data entry. Using a program called IBMS you will have to enter all the promos into the system otherwise there would be nothing on the telly that night. You will also have to supply all the spots to the regional networks and communicate clearly with them. Further there will be lots of liaising between promo managers and producers plus also various Admin jobs.

What do I have to be good at?
You need to be a quick learner. We hate telling people how to do things twice. You also need to be a self-starter. Someone who finds things to do to help out in a busy department. You also cannot afford to make any mistakes. Attention to detail is a must.
It is also vital you are a team player, someone who can build strong relationships within the department and also out.

Media Assistant

An entry level position, reporting to the Marketing Communications Manager, this role exposes the candidate to multiple facets of the marketing function including Media, Creative, Promotions and Partnerships.

The role is responsible for supporting the activation of various marketing campaigns within the Seven portfolio; across all TV brands including Seven, 7TWO, 7mate and 7Flix, 7plus, and their sub brands and programs. This role will also provide support to the Marketing Managers across Media, Social Media, and Digital Marketing.
Responsibilities and Duties
· In consultation with the Marketing Managers, implement National marketing campaigns, promotions and partnerships in a manner that delivers on the Network ratings objectives
· Activate multiple projects (ie: Network on-air, online, print, radio, social and cross promotional activity as well as community based events) then check and maintain these campaign schedules
Working with the Planner/Buyer
· Assist in the administration of media schedules, booking media with publishers including radio, out of home, digital, press and print
· Checking booking confirmations upon receipt from the media publishers to ensure there are no discrepancies
· Manage the distribution of marketing & media materials in conjunction with the creative team, to ensure all assets are delivered in a timely and effective manner, including radio and digital material
· Diligence with the reconciliation of media invoices against booked media plans (monthly)
· Assist with updating the budget trackers (monthly)
· Competitive media tracking and reporting to the wider team
· Supporting the planning and implementation of the paid social media schedule
· Train with senior marketing team in the execution of promotional campaigns, in accordance with the permit authorities, including the coordination of entry mechanics, internal and external summaries, briefs, and distribute the necessary legal documentation, internal advice documents, budget summaries, and assist delivery of supporting assets with relevant team members.
· Process detailed entry and winner documentation, and ensure appropriate steps are taken to manage filing in line with corporate privacy obligations.

· Follow and suggest improvements for promotions processes, procedures and standards. Ensure that service providers are accurate and efficient in their representation of Seven.

· Assist in Social Media moderation of all Seven’s social accounts, including responding to viewers with promotional and program queries
· Schedule and post relevant digital and social media activities
· Assist in general departmental admin, including logistical coordination at shoots, public events, filing, couriers and general team coordination
· Apply yourself to internal and external social and digital media training to capitalise on trends and opportunities
· Accept responsibility and be accountable for the coordination of tasks
· Work within the Seven Brand Guidelines

Production Assistant

High end leading Documentary production company is looking for a strong and enthusiastic Production Assistant who would like to take on junior production co-ordinator duties for a 1 hour SBS documentary project. Though the contract is for this production, we would like to use the opportunity in finding an assistant that can help with other duties in the office, as the documentary should be relatively simple and not as time consuming as usual. The role will be to assist the production team with general production requirements, co-ordinating travel, crew and callsheets for shoots, keeping contact lists up to date and distributing the relevant information to team members throughout the production. It could also include an element of data wrangling, logging footage and assisting in organising viewing copies of rushes for producers and transcribers along with minimal transcribing. Essentially, this would be suitable for a PA looking to upskill to a Production Co-ordinator, and ideally, you are very well organised, a good communicator, work well under a little pressure but not all the time and can pitch in to help out when needed.

This role will be at least until the Christmas break, finishing up Friday 21st December, however it could also continue to production finish (after a Christmas production break) up to delivery of 7th March.

Along with whipping the production team into good shape and keeping it running smoothly, we would like to you help in the office, get it organised, keep it clean and tidy, keeping the stationery cupboard plentiful, keep passwords, log ins and contact and assets lists up to date and book the odd courier or two. Anything techy know how with servers, websites, edit suites, hard drives and media storage would be a bonus.

Though contracting is just for the production, there is the possibility of rolling onto other productions that are looking to start at the end of this year.
