The Role:

The purpose of this role is to provide exceptional support to the Managing Director while being the Office Manager for a team of 50. This is a diverse role that will suit a team player with a strong track record of being organised and who enjoys working in a creative media environment.

You will be proactive with loads of initiative always being one step ahead and be able to build good relationships across the business as well as with external stakeholders.

You will ideally have Executive Assistant experience but are now looking for a fresh challenge. Your relationship management skills will be exceptional, but equally important is your “can do” attitude, professionalism, attention to detail and ability to prioritise.

Core Responsibilities

Managing and prioritising the various requests and demands on the MD’s time to help them create the best alignment of their diary with their objectives
Organising travel, expenses and meetings for the senior team with internal and external stakeholders.
Develop, organise and manage all aspects of event management and team social events
Coordinate all external and internal communications directed by the Managing Director and deliver excellent customer service across the Company:
Office Management including reception duties, local & international travel bookings, manage admin budget for supplies, facilities management.
HR Administration including leave management, recruitment, new starters and leavers process, ensure local and global policies and procedures are maintained
Work Health & Safety to ensure best practise implemented and maintained.

Experience in a similar EA role with exposure to senior leadership levels (preferable)
High degree of integrity and ability to act with discretion in handling confidential information.
Impeccable interpersonal skills and the ability to build relationships with stakeholders and staff across the FNG business (including globally). Able to spot problems/issues and demonstrate initiative to come up with reasonable solutions/alternatives.
Exceptional organisational skills and flexibility to prioritise and multitask a range of tasks on a day to day basis.
Be proactive and demonstrate initiative being able to operate autonomously, including a willingness to use your admin skills to improve and develop current processes.
Excellent written and verbal communication skills
Experience organising and maintaining Senior Leaders diaries, bookings, appointments and travel with the ability to expertly identify goals, conflicting priorities and resolve issues
Strong problem solving skills with acute attention to detail
Experience organising of on/off-site team events
Dynamic and personable with a good sense of humour
Advanced computer skills across Microsoft Office
